What Makes an NDIS Invoice Valid? A Checklist for Participants and Plan Managers

Rejected invoices waste everyone's time: yours, your plan manager's and your provider's. With claiming rules tightening under the 2026 reforms, clean invoices matter more than ever.

The essential fields

  • Provider name, ABN and contact details
  • Participant name and NDIS number
  • Date or dates the support was delivered
  • Clear description of the support, for example two hours of garden maintenance
  • Hours, hourly rate and total amount
  • The NDIS support item number where relevant, which helps plan managers code the claim correctly
  • An invoice number and payment details

The GST question

Most supports delivered to NDIS participants are GST free when they are made under a plan and a written agreement, and the supply is of a kind covered by the disability rules. If a provider charges GST on a standard NDIS support, ask why.

Why invoices get rejected

The common culprits are vague descriptions, missing dates, rates that do not match the service agreement, and supports that do not clearly link to the participant's plan. A one line description like services rendered is asking for trouble.
